About the position
The dynamic director of sales is seeking a savvy EA who brings commercial nous and sales acumen to the role. The position will also require PA work from time to time, supporting the director in their external commitments, particularly memberships and directorships of other company boards.
The ideal candidate will be extremely professional and presentable and bring plenty of confidence and commitment. A strong working knowledge of Microsoft Excel is essential and applicants should expect to have their Excel skills tested to ensure adequacy. Furthermore, a strong understanding of the sales environment, including the ability to cope with a fast-paced and dynamic workplace will be highly valuable. Experience in freight, infrastructure or transport sectors will be advantageous also. The executive assistant will be responsible for liaising with important external stakeholders including high-end clients from prestigious, globally recognised brands. Internally, the EA will be expected to work alongside leading executives as well as key performers in the sales team.
The Director of Sales travels often, and from time to time will require the EA to accompany them on national and international travel. Support managing travel including booking flights, accommodation, transport and managing itineraries will be required.
A proactive, can-do approach will be highly regarded, as will the ability to build and maintain relationships with both internal and external stakeholders. This is a hard-working executive who expects the EA to meet the same high standard of output, so a diligent worker who can power through a to-do list and confidently prioritise time to achieve the most important goals will thrive in the position.
Position responsibilities
managing a busy diary and ensuring time is spent on key priorities
supporting meetings by preparing minutes, taking notes, circulating agendas and reporting
assisting in the production of quotations, tenders and proposals and collating documents for tenders, using templates and ensuring updated resources are available to the sales team at all times
manage inbound and outbound correspondence in a professional and timely manner, including liaising on behalf of the director from time to time
managing all aspects of travel and event arrangements, including conferences, industry events, meetings, corporate hospitality, social and personal functions
liaising with senior stakeholders both internally and externally, including CEOs, investors, government ministers and their staff,
adhering to company values and policies at all times
providing personal administration support where necessary
managing any additional ad-hoc duties as requested
Qualities you’ll need to succeed
five to seven years of experience as a senior executive assistant
high competence in Microsoft Excel
experience in or understanding of freight or similar industries
confidence and experience operating at a senior level
ability to thrive in a fast-paced and dynamic workplace
a self-starter with initiative and the drive to get things done
excellent communication skills, including impressive writing abilities
excellent presentation, polished
ability to anticipate needs and make proactive decisions
a high level of emotional intelligence, common sense and practicality
confidence in providing strategic support and insights
ability to handle a dynamic, fast-paced environment
strong IT, calendar management and organisational skills
ability to maintain confidentiality
the right to work in Australia as an Australian citizen or permanent resident
