About the position 

This EA will be supporting both the CEO and CFO with a flexible 50/50 arrangement. This duo works closely together on a daily basis, so there’s plenty of synergy in sharing a single EA. The CEO and CFO are genuine, driven and affable and are looking for someone to provide top-level support. The organisation is owned by a private capital business, so someone with a strong reporting, procedural and governance background will be highly regarded. The head office is located in Melbourne’s south east suburbs, with easy access to the Monash Freeway (M1) and public transport. 

The CEO and CFO are in firm agreement about their requirements: a strategic, business partner EA who is organised, self-sufficient and proactive. Strong experience in preparing for board and strategic meetings is essential, including preparation of presentations, agendas, minutes, following up. Experience with senior stakeholder liaison will also be highly regarded. 

The CEO and CFO are a tight-knit team who work well together, supporting each other to deliver their KPIs to the satisfaction of their private equity owners. They’re seeking a third member of the team to work as a highly-valued member of the team. The opportunity to work as a business partner and have a strategic input as an extension of the leadership team makes this a highly exciting position for the right candidate. 

Position responsibilities 

• acting as a business partner in the role offering senior strategic support

• managing busy diaries and ensuring time allocated to core executive responsibilities 

• supporting and management of monthly board meetings, strategy sessions and presentations 

• identifying procedural improvements and establishing stronger standard operating procedures for the executive leadership 

• providing support with governance, policies and stakeholder management 

• managing travel arrangements and providing remote support to the CEO when travelling 

• providing guidance on procedures and policies to support business growth

• acting on behalf of the CEO where required 

• liaising with senior stakeholders both internally and externally

• adhering to company values and policies at all times

• managing any additional ad-hoc duties as requested by the CEO or CFO

• self-starter with proactive, can-do nature 

• ability to harmoniously juggle the demands of two busy executives 

• ability to work remotely with your executive/s and wider leadership team

• a strong streak of common sense, with a practical approach to workflow 

• polished and professional communication skills, both written and verbal

• confidence dealing with VIP stakeholders including representatives from the private equity owners 

• confidence in providing strategic support and insights

• ability to handle a dynamic, fast-paced environment 

• strong IT, calendar management and organisational skills 

Preferred knowledge, skills & experience

• minumum 6 years+ experiene supporting C-suite executives

• previous experience as a business partner EA 

• previous experience supporting multitple C-Suite executives

• Ability to work with your executive/s remotely

• strong time management and organisational skills

• high attention to detail 

• able to anticipate the needs of the CEO and CFO 

• Previous experience managing board meetings including minutes, agendas, reports & follow up of same

• be confident in juggling the dual requirements of the role 

• strong experience in governance, procedure and policy 

• impressive problem solving skills 

• highly organised, task-oriented and efficient 

• ability to maintain confidentiality

• experience working in a highly regulated sector 

• the right to work in Australia as an Australian citizen or permanent resident
