This independent, NGO program is part of the federal government’s Industry Growth Centres Initiative. Operating in the highly dynamic, fast-paced world of cyber security has required the leaders to focus on innovation, industry collaboration and international cooperation with high-value stakeholders.
About the position
The CEOs, based in Sydney and Canberra require top-level administrative support from a highly experienced, career-driven executive assistant. With numerous stakeholders involved in projects, gatekeeping skills and confidence dealing with senior decision-makers across government, technology and private sector will be valued in the role.
This position suits a candidate with extensive experience in the tech sector as well as experience in or understanding of government or government relations. The CEOs are excellent communicators and require an EA to live up to the same high standards of quality in their written and verbal correspondence. The ability to anticipate needs, think critically and provide strategic problem-solving support will be invaluable to the CEOs as they strive to guide the organisation's ambitious growth trajectory. Experience in juggling the demands of two dynamic leaders will also be highly regarded.
Position responsibilities
- providing in-person support the Sydney CEO
- providing remote support to the Canberra CEO
- providing senior strategic support and acting as business partner in the role
- managing busy calendars and ensuring time is spent on key priorities
- ensuring smooth day-to-day operations for both CEOs and being one step ahead of priorities
- acting as gatekeepers for the CEOs to ensure inbound requests are managed appropriately and professionally at all times
- liaising with senior internal and external stakeholders in all facets of day-to-day business operations
- preparing agendas, attending meetings (including Board meetings) taking notes and circulating minutes
- writing, preparing and formatting reports and presentations
- following compliance policies in relation to supporting the Board of Directors
- adhering to company values and policies at all times, including strictly adhering to confidentiality
- managing any additional ad-hoc duties as requested by the CEOs
Qualities you’ll need to succeed
- excellent communication skills, including impressive writing abilities
- ability to anticipate needs and make proactive decisions
- a high level of emotional intelligence, common sense and practicality
- confidence in providing strategic support and insights
- ability to handle a dynamic, fast-paced environment
- strong IT, calendar management and organisational skills
- a self-starter with initiative and the drive to get things done
Preferred knowledge, skills and experience
- previous experience in the technology, NGO or start up sectors highly regarded but not essential
- experience working in a fast-paced and fast-growing business, particularly supporting two CEOs
- a confident, mature and enthusiastic personality, with sound judgement and strong common sense
- highly organised, task-oriented and efficient, able to handle a high volume of tasks with little guidance or input
- capable of managing a complex calendar and and juggling priorities to maximise productivity
- experience liaising with senior stakeholders
- understanding of the protocols for confidential management of Board meetings and other formal gatherings
- Strong Microsoft office with high proficiency in Powerpoint
- the right to work in Australia as an Australian citizen or permanent resident
