The role:
The CEO of leading health care group requires a high level executive assistant to provide professional administrative and secretarial support and work alongside in a business partner capacity.The position will liaise with internal and external stakeholders and external business partners. In providing this support the position naturally exercises a high degree of communication competence, initiative, discretion and confidentiality
Proactively manage CEOA and Executive team members’ diary/calendars scheduling meetings includingroom/venue, catering and audio/visual arrangements (where required), with internal and external parties asdirected,ensuringcompetingdemandsareeffectivelymanaged.
Proactively manage the CEOs email correspondence, ensuring tracking of items for response/follow-up within specified timeframes and regular filing/archiving of emails.
Research, compose and collate information to prepare quality documents including: monthly reports; presentations; business cases; newsletters; social media grabs; and correspondence within specified timeframes
Maintaining the confidentiality of all matters pertaining to the Executive Office.
Support and endeavour to attain the objectives set by the Executive team.
Maintain a high level of awareness of matters coming into and out of the Executive Office to effectively respond to enquiries and exercise sound judgement on the manner of response.
Effective communication within Executive team, wider team and staff..
Managing the annual meeting planner for the various groups/committees.
Arranging events and functions for Executives as requested including: venue, catering, IT and AV equipment,travel and accommodation bookings; preparation and provision of event materials and resources; and bumpinandout preparations.
Arranging international and domestic travel for Executive including: flights; visas; accommodation; cartransfersorhirevehicles;andcoordinatedandplanneditineraryofscheduledmeetings
Monthly completion of Concur expense reconciliation for and facilitation of expense approvals for direct reports within specified time frames.
All other duties as required
Skills & experience required:
Minimum 6 year experience supporting a C-suite executive/Senior leader
Demonstrated ability to proactively support a senior executive with their day to day operations including ability to anticipate needs.
Advanced grammar written, verbal and communication skills.
Ability to work within a fast pace/everchanging environment .
Drafting correspondence and email management.
High level of flexibility to meet sometimes rapidly changing priorities and variable working duties and hours.
Advanced skills in Microsoft Word, Outlook, Excel and PowerPoint.
Highlydevelopedtimemanagement,planningandorganisationalskillswith theabilitytoprioritiseandmeetdeadlines.
High degree of attention to detail.
Ability to accurately compile and record agendas and minutes.
Demonstrated ability to maintain discretion, confidentiality, maturity, judgement and diplomacy in responding to/and in management of enquiries from internal and external stakeholders.
Abilitytoundertakeresearch,analyseinformationandpreparedraftreportsorresponsestoenquiriesonbehalfoftheCEOA.
