Job Description

The position

High performing executive assistant is required to support dynamic CEO within the construction industry.  Working alongside the CEO in a true business partner role this is an exciting opportunity for a highly experience EA to provide top level strategic support.

The role and responsibilities:

  • Provide high level secretarial and administrative support to the CEO and executive leadership team
  • Managing calendar and everchanging schedule
  • Email management
  • Preparation of email communications and correspondence on behalf of the CEO
  • Preparations of presentations and reports
  • Preparation of meetings including research, agendas, minutes etc
  • Managing and liaising with senior leadership members
  • Attending senior leadership meetings and providing input where necessary
  • Stakeholder management and relations
  • Management of projects
  • Travel arrangements
  • Monthly expense management
  • Arranging functions including lunches and dinner as well as annual events
  • Managing 2 team members
  • Ad hoc duties and personal errands for the CEO as required

To be successful you must have the following:

  • Minimum 8 years’ experience supporting C-suite executives – A MUST
  • Previous construction industry experience highly regarded
  • Previous experience working within a large organisation/ASX listed
  • Driven and considers themselves as a business partner
  • Ability to build strong relationships with stakeholders and clients
  • Outstanding communication and presentation
  • Strong written and oral communication
  • Confident & professional
  • Managing conflicting priorities and meeting deadlines
  • Ability to work within a fast pace environment
  • High attention to detail
  • Confidentiality and the management of highly sensitive information is a must
  • Stable work history
  • Business/Administration qualifications will be highly regarded
