The role
A high performing executive assistant is required to provide support to the CEO of successful construction company. The role will see you assist the CEO and wider leadership team accomplish company goals and objectives as well ensure the operations run efficiently.
Responsibilities:
Plan and orchestrate work to ensure the CEO and Leadership Teams’ priorities are met, organisational goals are achieved, as well as best practices
Coordinate scheduling and extensive calendar management for the CEO
Assist in organising meetings, functions and conferences including scheduling, preparing agendas and drafting minutes.
Perform administrative and office support, such as drafting and preparing reports, letters, memos and emails
Manage communication between upper management and employees on various projects and tasks
Identify, anticipate, and prepare information requirements for meetings, appointments, and presentations
Manage, coordinate, and arrange travel for the Leadership team, including hotel bookings, transportation and meal coordination
Liaise with employees, clients and suppliers on behalf of the CEO
Coordinate training for staff
Maintain systems and communication methods (such as Microsoft Teams pages) for the business
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
Manage and oversee the reception function including direct management of the Receptionists (2 staff)
Maintenance of filing system and contact database
Other general office duties as appropriate
Qualities and experience you will need to succeed:
Minimum five years’ experience supporting C-suite executive – A MUST
Experience supporting multiple executives/leadership teams
Previous construction or building industry experience highly regarded
Driven and considers themselves as a business partner
Ability to build strong relationships with stakeholders and clients
Outstanding communication and presentation
Strong written and oral communication
Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
Experience overseeing budgets and expenses
Experience developing internal processes and filing systems
Confident & professional
Managing conflicting priorities and meeting deadlines
Ability to work within a fast-paced environment
High attention to detail
Confidentiality and the management of highly sensitive information is a must
Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
Stable work history
Business/Administration qualifications will be highly regarded
