About the position

The executive is seeking an EA/PA who can juggle the busy schedule and remain on top of numerous commitments and appointments. Diary management using the latest software to keep the executive focused and on track will be a large component on the role. When able to do so, the executive will resume frequent travelling, so will require an EA who can confidently manage overseas itineraries including different timezones. 

Stakeholder management and events is a large part of this executive’s lifestyle, so an EA who can assist in preparing for important meetings will be well regarded. The executive assistant who seeks an introduction to the upper echelon of Melbourne’s financial, technology and government leaders will appreciate the opportunity to liaise at a highly senior level. 

A proactive, can-do approach will be highly regarded, as will the ability to build and maintain relationships with both internal and external stakeholders. This is a hard-working executive who expects the EA to meet the same high standard of output, so a diligent worker who can power through a to-do list and confidently prioritise time to achieve the most important goals will thrive in the position.  

Position responsibilities 

  • managing a busy diary and ensuring time is spent on key priorities
  • managing all aspects of travel (when possible) and event arrangements, including conferences, industry events, meetings, corporate hospitality, social and personal functions   
  • liaising with senior stakeholders both internally and externally, including CEOs, investors, government ministers and their staff, 
  • preparing agendas, attending meetings, taking notes and circulating minutes
  • writing, preparing and formatting reports and presentations 
  • providing personal administration support where necessary 
  • managing any additional ad-hoc duties as requested by the executive 

Qualities you’ll need to succeed

  • Minimum 5 years experience supporting C-suite executive/s or high net worth individual or corporate executive
  • confidence and experience operating at a senior level 
  • a self-starter with initiative and the drive to get things done 
  • comfortable working autonmously/micro office 
  • excellent communication skills, including impressive writing abilities 
  • ability to anticipate needs and make proactive decisions
  • common sense and practicality
  • confidence in providing strategic support and insights
  • ability to handle a dynamic, fast-paced environment 
  • strong IT, calendar management and organisational skills 
  • ability to maintain confidentiality
  • availability outside standard business hours particularly when the executive travels internationally
  • Face to face office role - 8.30am to 6pm office hours
