About the position
This EA will be supporting the CEO, plus working closely with the leadership team. Consequently, high organisation skills and exemplary diary management is an absolute must-have for this position.
The CEO and leadership have demanding schedules, so an EA with confidence working in a fast-paced dynamic environment will relish stepping up to the task. Experience in the construction industry will be highly regarded but not essential to the role. What’s more important is a can-do attitude, resilience and a professional work ethic. The ability to manage numerous stakeholders and coordinate several diaries at once will be most advantageous for the successful applicant. Confidence in liaising with influential stakeholders and reporting to senior executives is also an essential quality for the position.
This organisation often holds corporate hospitality functions with clients, so an understanding of the best restaurants in town, and which venues are suitable to truly impress clients will be beneficial. Having a list at your fingertips of the best private dining spaces for private meetings and larger gatherings will set you in good stead for success in the role. You will also work closely with the marketing department to execute functions and events.
Position responsibilities
managing diaries for CEO and leadership team
ensuring time is allocated to core executive responsibilities
providing additional diary management to the remainder of the leadership team
managing corporate hospitality for client entertaining - recommending and booking venues appropriate to the client needs
supporting monthly leadership meetings, strategy sessions and presentations
managing travel arrangements and providing remote support when travelling
liaising with senior stakeholders both internally and externally
adhering to company values and policies at all times
managing any additional ad-hoc duties as requested
Qualities you’ll need to succeed
ability to harmoniously juggle the demands of multiple executives
a strong streak of common sense, with a practical approach to workflow
polished and professional communication skills, both written and verbal
confidence dealing with VIP stakeholders
ability to handle a dynamic, fast-paced environment
strong IT, calendar management and organisational skills
understanding of corporate hospitality spaces in Sydney and experience in arranging private dining and other corporate functions and gatherings
Preferred knowledge, skills and experience
previous experience in the construction industry is highly desirable but not essential
Minimum 5 years working as an EA for C-suite and/or leadership team
strong time management and organisational skills
high attention to detail
able to anticipate the needs of the leadership team
resilient, unflappable and confident in delivering (and receiving) feedback
highly organised, task-oriented and efficient
the right to work in Australia as an Australian citizen or permanent resident
