About the position
This newly created role offers the successful candidate a positive and supportive culture to grow and develop within. Affording a healthy work/life balance with 3 days in the office and 2 at home, this position calls for a proactive and diligent attitude in order to succeed. Using your exceptional relationship-building skills and commitment to positive client outcomes, you will support three business partners in managing their day-to-day workload. Through your previous experience in a similar role, you will coordinate their diaries, meetings and travel arrangements, as well as assisting with delivering a range of projects to agreed timeframes. A solid understanding of providing financial administrative support e.g. timesheets, expense claims and accounts payable processes, will see you thrive in this opportunity. An ethical approach and a strict adherence to confidentiality, and business policies are non-negotiables for this role.
Position responsibilities
coordination of diaries, calendars, meetings and tasks for partners
assist in managing a range of projects to deliver within agreed timeframes
managing telephone calls, enquiries and requests as appropriate
manage travel arrangements (domestic and international) according to firm policies
financial administrative support - WIP, timesheets, expense claims, productivity, debtors, billing, and accounts payable processes
client onboarding tasks including independence conflict checks and ASIC searches
formatting of tender documents and other business development initiatives as needed
maintenance of CRM database to ensure currency and accuracy
maintenance of office systems including data and filing of client correspondence
arranging meetings and associated requirements including rooms, catering, tele/video conference facilities
welcoming and supporting visiting clients as needed
assisting with People and Culture activities such as team functions, meetings, and staff movements
support EAs and wider administration network in various tasks including reception
Qualities you’ll need to succeed
highly developed attention to detail to produce quality, detailed work within deadlines
willing attitude to manage multiple tasks at once
able to manage work autonomously, and to seek support where needed
strong written and verbal communication skills
easily able to build rapport with colleagues, clients and other stakeholders to achieve desired outcomes
professional manner and appropriate respect for confidentiality requirements
strong client service ethic, and commitment to excellence and the achievement of high standards of work
Preferred skills and experience
At least 2 years’ experience in a PA or team assistant role
Advanced knowledge of Microsoft Office suite
Knowledge of APS, Promaster or Virtual Cabinet favourable but not essential
