Position responsibilities
coordinating inbound and outbound correspondence in a professional and timely manner, including answering Director’s phone when required
providing quality and timely administrative support
maintaining notes and action registers from meetings and conversations for follow up
preparing a comparative market analysis, submissions, reports, and pre-list kits on a daily basis
assisting with open homes, final inspections, photo shoots, and settlement day keys and gift exchanges as needed
liaising with external vendors such as photographers, videographers, printers, stylists, conveyancers and trades where required
preparing auction scripts, auction day packs and open home boxes
tracking and reporting on data for sales and listings
maintaining accuracy of listings and related sales documentation
communicating with vendors on offers, price changes, open days and referrals
maintaining communication with buyers on new listings, open houses, auctions, and offers
delegating tasks to Virtual Assistant, Campaign Manager, Team Manager or Sales Administrator where needed
running weekly team meetings, and daily huddles to maintain accountabilities and task tracking
assisting with social media tasks
finding opportunities for community engagement through sponsorship and charity auctions
arranging catering for meetings, auction days, or for your leader, as required
maintaining and sourcing office supplies and team needs

Preferred skills and experience
minimum 3 years’ experience supporting executives
prior experience in administrative function only
strong proficiency in Microsoft Office
real estate industry not essential however working within professional services and or property/customer centric environments highly regarded
