About the position 

This EA will be supporting a senior decision maker in the organisation, who is new to managing an EA and needs someone to confidently take the reins. Naturally, the executive is very busy, and needs strategic support, and capable partner to hold the fort whilst supporting the delivery of key organisation and personal KPIs. A commercially savvy operator who can read a room, and proactively make recommendations for the best course of action will be well suited to this position. 

This executive is not a micromanager — on the contrary, an independent, self-starter will thrive in this environment, relishing the opportunity to take this role and make it their own. Due to the ambitious growth trajectory of the organisation, it’s anticipated that this executive assistant position will soon enjoy the opportunity to lead other EAs as more support is needed for executives across the organisation. Consequently, there is considerable room for growth within the company for the right person. 

Strong stakeholder management and gatekeeping skills are the core requirement for this position, as the executive has many time-consuming commitments and needs support to keep decisions flowing and achieve multi-faceted deliverables. A savvy operator who can liaise with industry leaders without being intimidated will relish the opportunity this position provides. 

Position responsibilities 

  • managing diaries and supporting the daily operations of the executive 
  • ensuring time is adequately allocated to core executive responsibilities
  • liaising with important stakeholders, both internal and external to the organisation
  • where appropriate, acting on behalf of the executive, thus empowering them to concentrate on bigger picture priorities 
  • preparing for and attending meetings, pitches, presentations and industry events 
  • (when permitted) supporting travel, primarily to Asia and New Zealand, and providing remote support when travelling 
  • adhering to company values and policies at all times
  • managing any additional ad-hoc duties as requested

Qualities you’ll need to succeed

  • Minimum 6+ years experience supporting C-suite/director level
  • confidence in taking the role and guiding the executive in working with their first EA 
  • Commecially savvy and intelligent
  • Accountable
  • proactive, switched on, savvy and confident, self-starter with strong instincts and initiative 
  • highly organised with excellent time management, able to prioritise competing tasks
  • decisive, driven and capable 
  • understanding of the technical and technological elements of the supply chain department 
  • high intelligence that matches the superior smarts of the executive 

Preferred knowledge, skills and experience

  • previous experience in the supply chain, logistics, warehousing industry would be highly preferred 
  • Ability to work autonomously
  • highly organised, task-oriented and efficient 
  • strong time management and organisational skills
  • high attention to detail 
  • able to anticipate the needs of the leadership team
  • happy to take the reins in establishing the working dynamic between executive and EA 
  • resilient, unflappable and confident
