About the position
The EA will be supporting the Managing Director as well as supporting some of the leadership team. The MD and leadership team work at fast pace and require their EA to keep up. A commercially savvy operator who is proactive with a can-do attitude will succeed in the role.
Position responsibilities
Maintain diaries including prioritisation of meetings and commitments
Maintain inbox of executives, reviewing items, meeting requests, actioning, delegating and following up urgent/business critical items
Organising meetings and maintaining room/s bookings and arranging catering if required
Making travel arrangements and detailed travel itineraries
Expense and invoice management
Draft and prepare correspondence on behalf of the MD, PS Executive Director and Executive Management team as required including proof reading for accuracy
Preparing agendas, minutes, and follow-up actions
Event management, organisation and assistance including employee updates, social team events, team training & conferences, Leadership Team offsite, and other employee and communications as required.
Ensuring site inductions are up to date for meetings held at operational sites including all government regulated covid requirements for entry to site
Liaising and coordinating with relevant business units or organisations in relation to meetings, events, seminars, and training
Qualities you’ll need to succeed
Minimum 5+ years experience supporting multiple executives/C-suite/director level
Highly organised, with demonstrated ability to work under pressure, prioritise and work to tight deadlines
High level of initiative, results orientated and strong problem-solving skills
Confidence and can-do attitude, no task is too big or too small
Ability to pitch in at all levels of the organisaiton and juggle the needs of multiple stakeholders
Event and project management skills
Excellent written and verbal communication and interpersonal skills including collaboration and stakeholder engagement & management skills
Strong team player with ability to collaborate and develop relationships across team and business
Preferred knowledge, skills and experience
previous experience in the professional services, supply chain, logistics, property industry would be highly regarded
Commercial savvy with entrepreneurial mindset
previous experience working within a fast paced environment a must
