Our client, a management consulting firm speciliasing in the biotech/pharma space is seeking a high performing executive assistant to support the Managing Director

The Role & Responsibilities

• Provide high level secretarial and administrative support to the MD
• Diary arrangements - scheduling including managing conflicts to an ever changing diary
• Email management
• Stakeholder management and building strong relationships
• Liaising with senior business leaders and Government officials
• Travel arrangements including domestic & international (when permitted)
• Anticipating the needs of the MD in terms of meeting preparation including research
• Co-ordinating meetings both internal and external including catering
• Event and function co-ordination 
• Drafting of correspondence, typing and collation of reports
• Powerpoint presentations
• Setting up procedures/policies
• Minutes of meetings including agendas, follow up, reports etc
• Formatting documents
• Managing and responding to all phone calls on behalf of the MD
• Maintaining records and databases on behalf of the MD
• Expense management
• Some office management including stationary, security, staff meetings and/or events
• Ad hoc duties as required

Skills & Experience

• Previous experience supporting C-suite is a must
• Minimum 5 years providing high level support to C-suite
• Strong calendar management  
• Intelligent and commercial savvy
• Comfortable liaising at all levels including Government officials/senior business leaders
• Proactive and show initiative
• Strong Can-do attitude a must
• Exceptional organisational abilities
• High attention to detail
• Outstanding presentation skill
• Outstanding communication skills both written and oral

• Flexible and down to earth
• Advanced Microsoft skills including Word, Excel and Powerpoint a must!
