About the executive

This dynamic executive works at an extremely fast pace and is passionate about providing an excellent standard of service to clients. This is a truly values-led organisation and the MD is the embodiment of that commitment to taking care of staff and community. With an extremely busy work rate and numerous commitments, the MD finds it challenging to achieve everything necessary in the role with the hours available, so wants to rely on an executive assistant to help prioritise and keep an eye on the bigger picture. Being supportive to both staff and clients is highly important and support is required to deliver these objectives. The MD is a charismatic operator, an excellent communicator and a wonderful leader to learn from. Entertaining sophisticated clients and attending industry events is a large proponent of their remit, so working with someone who understands this dynamic will be beneficial. 

About the position

An EA who shares the MDs level of passion, empathy and emotional intelligence will thrive in this role. A proactive, can-do approach will be highly regarded, as will the ability to build and maintain relationships with both internal and external stakeholders.  A fresh perspective, positive approach and energetic work style will be valued 

A savvy commercial operator who can manage the MDs schedule and keep everything to a strict routine will be the perfect support the MD needs to operate successfully. Excellent verbal and written communication is essential to the role, as is an outstanding level of professional presentation. Attention to detail and a sharp streak of common sense is vital.

Position responsibilities 

  • managing a busy diary and ensuring time is spent on key company priorities
  • managing all aspects of travel and event arrangements, including conferences, industry events, meetings, corporate hospitality, social and personal functions   
  • liaising with senior stakeholders both internally and externally
  • preparing agendas, attending meetings, taking notes and circulating minutes
  • writing, preparing and formatting reports and presentations 
  • adhering to company values and policies at all times
  • providing personal administration support where necessary 
  • managing any additional ad-hoc duties as requested by the MD

Qualities you’ll need to succeed

  • a high level of empathy, ability to read people and maintain strong interpersonal relationships
  • a self-starter with initiative and the drive to get things done 
  • excellent communication skills, including impressive writing abilities 
  • ability to anticipate needs and make proactive decisions
  • a high level of emotional intelligence, common sense and practicality
  • ability to handle a dynamic, fast-paced environment 
  • strong IT, calendar management and organisational skills 

Preferred knowledge, skills and experience

  • five years as a personal or executive assistant supporting senior executive and/or leadership teams
  • previous experience in fast-paced commercial workplaces 
  • ideally have worked within a sales/serviced based industry
  • experience working in a fast-paced and fast-growing business 
  • a confident, mature and enthusiastic personality 
  • highly organised, task-oriented and efficient 
  • highly skilled with Microsoft Office products 
  • good knowledge of Sydney hospitality venues 
  • capable of managing a complex CEO calendar and juggling priorities to maximise productivity 
  • ability to maintain confidentiality
  • the right to work in Australia as an Australian citizen or permanent resident
