The Role:
Provide administrative support to the CEO of growing fintech company. The role encompasses executive assistant support/office management and HR functions. Outstanding team and culture.
Responsibilities:
Complete a variety of administrative tasks as allocated by the CEO or Executive Team
CEO diary and team meeting coordination
Occasionally organize travel for the CEO and Team
Assist with collating reports as needed by the CEO or Executive Team
Manage Agenda’s and minute taking during some meetings
In collaboration with management preparing presentations for meetings including the creation of PowerPoint presentations for the Executive team
Assist with projects that arise across Finance, HR, Marketing, Sales and Commercial Operations
Provide ongoing general administrative assistance to the team as required HR Support
Support the Head of People & Culture to deliver HR initiatives and programs to the business
Work with Head of People & Culture to manage the goal setting process in the ELMO portal, bonus & remuneration process including spreadsheet management and letter development
Assist with recruitment; including onboarding & offboarding of staff
Contract generation & employee file management including, spreadsheet management
Management of employment milestones & probation requirements
Manage & drive the employee Wellbeing Committee; Organise & coordinate functions, catering, meetings and team events
Management of the HR budget
Adhoc tasks including; survey creation, internal communications to the business & presentations Office Management
Manage weekly office groceries, keeping the kitchen fully stocked & tidy
Act as the “go to” person for staff across the business
Ordering stationary, office supplies and business cards, ensuring sufficient supplies
Management of the general office facility ensuring general tidiness
Experience & qualities you will need:
3 + years’ experience working as an Executive Assistant or Office Coordinator/Team Assistant
You have the ability to organize projects and multi-task effectively and independently
You are a problem-solver with a can-do attitude to getting work done
You have a pleasant and professional phone demeanor
You have a keen attention to detail, including excellent grammar, spelling, and communication skills
Bachelor Degree preferred but not essential
Proven experience dealing with Board level including preparing complex board papers and presentations
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Prioritizes conflicting needs; handle matters proactively and follow-through on projects to completion
Highly resourceful team-player, with the ability to also be extremely effective and flexible
