The Role
Altitude EA is partnering with a private family office and associated business interests to appoint a senior Executive Assistant to support two principals across governance, financial coordination and personal operations.
This is a sophisticated, high-trust environment requiring discretion, commercial maturity and emotional intelligence. You will operate across board-level matters, multi-entity structures, strategic research and personal administration — moving fluidly between formal governance and the evolving priorities of a dynamic principal.
This is not a purely corporate board EA role. Nor is it a traditional PA position. It is a hybrid family office role requiring judgment, confidence and the ability to think independently.
The role is initially 3 days per week, with potential to expand.
Key Responsibilities
Principal & Diary Management
Manage complex and evolving diaries for two principals, ensuring alignment across board commitments, professional engagements and personal priorities
Provide proactive meeting preparation and daily briefing prompts
Coordinate domestic and international travel arrangements, including detailed itineraries and logistical oversight
Act as a strategic gatekeeper while maintaining diplomacy and accessibility
Governance & Strategic Support
Coordinate board meetings, estate planning sessions and advisory engagements
Prepare and distribute board packs and sensitive documentation with exceptional attention to presentation
Liaise with professional advisers and stakeholders to ensure timely follow-up and alignment
Support foundation administration and structured governance processes
Research & Strategic Resourcefulness
Conduct research on investment opportunities, acquisitions, vendors or strategic initiatives as directed
Analyse information, summarise findings and present clear, well-structured recommendations
Source solutions, suppliers and advisors aligned with quality and discretion expectations
Financial Coordination & Administration
Coordinate and track bill payments across multiple entities and categories
Follow up with relevant stakeholders to ensure financial matters are actioned
Maintain financial tracking systems and documentation oversight
Manage expense reporting and subscription monitoring
About You
You are a senior Executive Assistant with experience supporting high-net-worth individuals, family offices or complex private structures.
You bring:
7+ years’ experience in senior EA, family office or private principal support
Confidence managing demanding, high-expectation personalities
The ability to operate with minimal structure and bring clarity to ambiguity
Board-level coordination experience and understanding of governance processes
Strong research capability and commercial curiosity
Emotional resilience and the confidence to respectfully push back when required
Exceptional discretion and presentation standards
You are calm under pressure, adaptable in tone and comfortable moving between strategic governance, financial coordination and personal administration - without losing professionalism or precision.
Working Arrangement
3 days per week (flexible)
Sydney-based with flexibility
Joint reporting to two principals
Potential for expansion based on operational needs (move to full-time)
