About the Opportunity
This unique Executive Assistant opportunity has been designed for a highly organised, resourceful, process-driven professional who thrives in an operations-aligned support role.
While the title is Executive Assistant, this is not a traditional inbox/calendar management role. Instead, you’ll operate as a central force in coordinating client submissions, managing contracts and tenders, preparing reports, and driving consistency across internal operations.
This role is within a well established engineering and construction business, known for delivering complex projects and supports a trusted leadership team. It’s ideal for a career EA who enjoys working behind the scenes, bringing structure, clarity, and calm across multiple functions — from documentation to reporting, to managing internal systems.
Key Responsibilities
Prepare and coordinate client-facing documentation including proposals, tenders, and returnable schedules
Support the management of contracts and RFIs, ensuring deadlines are met
Assist with departmental reporting, including formatting and finalisation
Key client/stakeholder management
Document internal processes, procedures, and policy updates
Track forecasting data and contribute to pipeline reporting
Contribute to social impact reporting and special projects as needed
Provide general administrative support to keep internal operations running smoothly
About You
Minimum 5+ years’ experience in an Executive Assistant or senior business support role
Ideally from engineering, professional services or construction industry backgrounds
Commerically savvy, switched on where initiative and sound judgement are key
Proven ability to manage complex documentation and internal processes
Highly organised with exceptional attention to detail and consistency
Confident communicator with strong written and verbal skills
Tech-savvy and able to work independently in a fast-paced environment
Professional, polished, and always five steps ahead - proactive
Someone who takes real pride in supporting the engine room of a business
